We are going to develop an export / sync function for you QuickBooks users. There are two processes here: QuickBooks’ web-based product and the desktop solution. Before we get underway with coding, we want your feedback and insight as QuickBooks users.
What data do you need and want to see exchanged?
It appear that we need to provide sales receipt data and customer information data. Anything else? PLEASE leave comments below! Your ideas, comments and feedback will help this get done quickly. Thanks everyone!
Transaction fees, print cost, item cost, shipping cost….. if possable.
I imagine taxes paid per customer/order would be pretty important as well.
We are very excited about this update. In speaking with our it guy about this, he asked if it could also be exported into ASCII and/or TEXT format as not all people (including us) do not use quickbooks.
Thank you
Mondo
would definitely like to see this… agree with Jim’s response
AWESOME! We’ve been waiting for this one. We recently started using Freshbooks to allow our sales associates to invoice mobile as well. We then push the information to quickbooks where it sync’s up.
One of the biggest issues has been that our massive item list in Quickbooks was not the exact same format as Freshbooks. For example: A Gildan 2000, you’ve got description, color, sizes, and imprint instructions all in the description field. If it’s not exactly the same format in both programs then everything is changed in quickbooks when you sync. The same would happen from Inksoft to Quickbooks because chances are that your quickbooks items are not formatted the exact same in Quickbooks as they are in Inksoft, it’s almost impossible. I think a fix would be to generate item numbers from Inksoft with a modifier, For example a Gildan 2000 in quickboks is still a 2000, in Inksoft it’s a 2000-WEB. That way a new item would be created in he item list and you’ll have no formatting issues.
I don’t think we are going to be able to pass ‘granular’ data since everyone’ QB set up is going to be unique.
If you give an API then we can make any system (not just quickbooks) pull data out of inksoft. Such as SASU accounting or peachtree or workingpoint or outright or a number of other software/saas solutions.
We need to start with a tool that will benefit the bulk of users. I suspect 95% + current InkSoft clients wouldn’t know what to do with an API. It would require a developer to use.
We use QB as our Order Entry for our 6 Depts we have.
So one thing that would be nice is to be able to, of course, have QB discriminate whether it is DTG or SP and then be able to assign COGS or other expense to each dept
The name of the store they are ordering from would be very helpful for us that have multiple stores running under different names.
It would be nice to be able to bring in all of the products preferred vendor products offered in inksoft to Quickbooks easily and quickly. Also are there payment options that could work between the two?
Interesting! We might be able to do the first part–We need more info for your second point about payments.
We use Accountedge Software (formally know as MYOB). It is the Quickbooks equivalent for Macs. (Why have a PC for accounting and Mac every place else?) We can import the following data formats QIF, QFX, QBO, OFX, and OFC.
Anybody else using AccountEdge???
John: I have QB for MAC and it is solid. Have you thought about moving over? QB is so widely used.
We used to do a lot of t-shirt printing for Intuit. When I was first setting up my company I used QuickBooks but Intuit made a corporate decision to drop the Mac version. We were forced to go to MYOB. Intuit got a lot of flack from the Mac users they begrudgingly updated the Mac version. I always felt that given a chance they would drop it again.
I love MYOB. It is extremely stable and very easy to use. It flies on the new Intel based Macs. The support is fantastic. It is almost identical in function to QuickBooks. No reason to change.
Thanks John. Can MYOB import CSV files?
We are Certified QuickBooks ProAdvisors working with Wizard Print Designs and are currently running into this problem, so your timing is perfect. The information we will need to see on the Sales Receipt is the Customer, store purchased from, individual items purchased (sku and description). For each item purchased we will need to see color, size, quantity, as well as the cost the customer paid plus shipping. All this information is currently on the screen, but we have been unable to get the system to extract the data. This will allow us to track their profit based on the item purchased.
Also, what type of file were you thinking of having downloaded? The csv file format you currently provide would continue to work.
Please let us know if you have any other questions.
Charlene: This is great information. Perhaps we should speak to make sure we are on the right path. Can you email me your contact info? jphunt@inksoft.com

From our lead developer:
Could you compile an example CVS file?
Great idea! I use quickbooks all the time, i can see many advantages..maybe Turn the “quote” function to my quickbook quotes the i csn easily trsnsition to invoice etc…also be great to upload product..or “add” product info i sm not contantly adding new products to my quickbooks
Quickbooks has a pay invoice online once I invoice the cusyomer through theur payment ptocesding, then reflect instantly in my qiickbooks, paymen integration would be awesome
I don’t have anything to add at the present, however wanted to comment that I think this is fabulous. Looking forward to the enhancement!
Thanks!!
I agree with Kyle that offering us an API so that we can make any accounting system compatible with our ink soft stores would be great. Even though our company currently uses QB, we’re trying to move away from it. There’s several online accounting systems that offer many advantages over the QB giant that has been the standard for SMEs for so many years. We want to move our entire business online, including accounting functions, but we need an API to make this all come together. You are correct that no one in our company actually knows what to do with the API, but we at least know that we need it and are willing to hire a developer to write the code required to make Ink Soft orders push over to our Freshbooks invoicing system. Will you guys open up your system to allow us to necessary access to make this happen?
Perhaps in the future this will be made available. For now, we have a huge list of feature requests that have broad application to all users. We always make decisions based on votes and relevancy / application to a broad user range.
Thanks for jumping on Jason! An api (if explained correctly) is really not that difficult. Especially since Freshbooks and so many others interface so well.
For those of you wondering what an API is, allow me to explain.
Its basically instructions to tell Inksoft to share data to other systems. Technically speaking “shopworks integration” is sort of an API…although it is more manual input and a true API is more automated.
Example of how an API could work:
1. customer orders
2. API for freshbooks recevies an HTTP post (a post or message from inksoft) containing the customer name, and other pertinent order data.
3. Freshbooks imports the HTTP post into its API!
4. No double entry anymore!
So you see, an API when explained is so useful!
I would like the product numbers associated with the blank purchases; this will make it very easy to create the associated PO to order the blanks. It would be even better if there was a line item called “Screen printing” which called out the # of colors, location, design name and the associated cost for each print job as well as the shipping cost, tax information, That would be bliss.
i would like onine data. also one big concern is that we use Broder alot and you still have not synced up with them.
Broder does NOT have product photography for each color / style. They have only one image to represent the product. This creates major issues for our users. We are technically integrated with Broder’s EDI web service — but it’s useless without product photos. We communicated these challenges to Broder and they said they do have plans to do photography. We encouraged them to start with the top 300 selling SKUs.
Have you created a function to sync with Quickbooks online so there is no need to export data files?
Thomas: This is a work in progress! It is a very high priority on our end.
